Your account, language, and access

Your grAider account gives you your own workspace for classes, assessments, and student work. This chapter explains how to sign in, check your institution's approval, and get help. Button names below use the English interface.

Create an account

  1. Choose Register on the login page.
  2. Enter your First name, Last name, and Email.
  3. Enter a password, then repeat it in Confirm password. If the form rejects your password, follow the message beside the field and try again.
  4. Choose your Institution country.
  5. Search for your institution by name, city, ZIP code, or type. Enter at least two characters. If there are many matches, add the city or ZIP code to narrow the list.
  6. Select your institution from the results. Check its location so you choose the right one.
  7. Read the linked Privacy Policy and tick the acknowledgement.
  8. Choose Create account.

Check your inbox for the confirmation email, including your spam folder. Open its link within 24 hours. Confirming your email signs you in and opens your workspace.

If your institution is missing

Enter its full name in the search field and select My institution is not listed in the search results. The name you typed will be kept for review.

Provide the Institution type as well. For Germany, select a type from the list. For another country, type a description, such as “primary school” or “university”. You can then finish registering. Your institution must be linked before its approval status can be checked.

If you cannot finish registration

  • An account with this email already exists: use Login, or Forgot your password? if you have already activated the account.
  • The confirmation email has not arrived: check the address you entered and your spam folder. The app has no resend-confirmation button. If you still cannot activate the account, contact grAider using the contact details on the public Imprint page.
  • Activation link is invalid or expired: if you already confirmed your account, sign in normally. Otherwise, contact grAider for help activating it. Password reset does not activate an unconfirmed account.
  • Too many attempts: wait a few minutes before trying again.

Join from an invitation

Invitations can lead to two different starting pages. Follow the page you see.

If the link opens Create account, complete the registration steps above. Your email may already be filled in. Choose your own institution and confirm your email when the confirmation message arrives.

If the link opens Activate your account, your institution and email have already been assigned:

  1. Check the institution and email shown on the page.
  2. Enter or correct your first and last name.
  3. Choose a password. The strength bar updates as you type; continue adjusting the password until it says Strong enough.
  4. Repeat the password in Confirm password.
  5. Choose Set password and continue.

You are then signed in. These account-setup invitation links expire after seven days and cannot be used again after setup. If a link no longer works and you have already set a password, use Login. Otherwise, contact the person who arranged your invitation or grAider for help.

Sign in or reset your password

Choose Login, enter your email address and password, and select Login again. Email addresses are not case-sensitive. A newly registered account must be confirmed by email before you can sign in.

To reset a forgotten password:

  1. Select Forgot your password? on the login page.
  2. Enter your account email and select Send reset link.
  3. Check your inbox and spam folder.
  4. Open the reset link, enter and confirm a new password, and choose Save new password.
  5. Select Login and sign in with the new password.

The Check your email page appears whether or not that address has an active account. If no email arrives, check that you used the correct address and completed account activation. If a reset link is unavailable or expired, choose Request a new reset link. A used reset link cannot be used again.

If repeated sign-in or reset attempts trigger a waiting message, pause for a few minutes before trying again.

Choose your language

Open the globe-shaped Language control near the bottom of the sidebar and select Deutsch, English, or Español. The public pages also have a language control. When you are signed in, your choice is saved to your account for future visits.

The selected language also matters for newly generated grading feedback. Changing the interface language does not rewrite existing feedback. If you need existing feedback in the new language, read Reviewing grades and feedback before running grading again, especially if you have already made manual corrections.

Understand your access status

Select your initials near the bottom of the sidebar to open Account. The Access status section shows two separate checks:

Check What the labels mean What to do if it is pending
Institution approval Allowed means your institution has active permission to use grAider. Not allowed yet means this is missing or cannot yet be checked. Check that the institution is correct and contact your institution's administrator. An unlisted institution first needs to be linked.
Teacher approval Approved means your institution has approved your teacher account. Pending means it has not. Ask your institution's administrator to approve your account after you have confirmed your email.

The Demo badge appears when either approval is missing or your institution is not linked. Select the badge to open Account and see which check needs attention. Email confirmation and institutional approval are separate steps: confirming your email alone does not complete both approvals.

Accounts created in German include example material to help you explore the workflow. If your workspace has no examples, start with Classes and assessments. Check your institution's arrangements before using classroom work.

Change your institution

  1. Open Account using your initials in the sidebar.
  2. Select the pencil-shaped Change institution button in the Institution section.
  3. Choose the country, search for the correct institution, and select it. If it is missing, use the unlisted-institution option and provide its type.
  4. Select Save institution.

Saving this form resets your teacher approval. If you are an institution administrator, it also removes your administrator role. This happens even if you select the same institution again. Use Cancel or the close button if you only wanted to inspect the details. After saving, check Access status and arrange any needed approval with your institution.

The Account page displays your name and email; it does not provide controls for editing them.

Invite a colleague

  1. Choose Invite a teacher in the sidebar.
  2. Enter your colleague's email address.
  3. Choose Send invitation.
  4. Look for the confirmation that the invitation was sent.

Your colleague receives a registration link in the language you are currently using. They choose their own institution and confirm their own email. Sending this invitation does not approve their account or give them access to your classes or student work.

If the address already has an account, the form tells you instead of sending another invitation. If sending fails or you have sent too many invitations, follow the message and try again later.

For institution administrators: approve a teacher

If your account has administrator access for a linked institution, the sidebar includes Institution Admin. This page lists teachers at your institution with their name, email, Account status, and Access switch.

  1. Open Institution Admin and find the teacher by name and email.
  2. Check that their status is Email confirmed. An unconfirmed account cannot be newly unlocked; the teacher must finish email confirmation first.
  3. Turn on the teacher's Access switch, labelled Unlocked.
  4. Wait for Teacher access updated. The change saves immediately; there is no separate Save button.

Turn the switch off to remove teacher approval. Approving a teacher does not change the separate institution approval shown on their Account page. If a teacher is missing from the list, have them check which institution is linked to their account.

Report a problem or suggest an improvement

While signed in, open the page where you noticed the issue and select Report a problem in the sidebar.

Describe what you were trying to do, what happened, and what you expected. Include the wording of any error message. Choose Send report. The app includes the current page address with your report and returns you to that page with a thank-you message.

To share an idea, choose Suggest an improvement, describe what would help you, and select Send suggestion. Both forms accept up to 5,000 characters. Choose Cancel to close the form without sending it.

If the app says it could not send your feedback, reopen the form and check that you have entered a description. If you cannot sign in, use the contact details on the public Imprint page instead.

Sign out

Select the Logout icon near the bottom of the sidebar and confirm Are you sure you want to log out? You return to the public home page. Save any edits you are making before signing out, especially on a shared computer.
